Regular Board of Trustees Meeting Minutes

September 2, 2008

President Paula Baker called the meeting of the Tolono Library District Board of Trustees to order at 7:00 p.m. in the Library meeting room. Present were Paula Baker, Tracy Culkin, Katrina Olson, Sherrie Roderick. Joshua Mikeworth arrived at 7:07 p.m. Linda Fisher and Tracy Wilson were absent. Staff present was Janet Cler.

Minutes: The minutes of the August 12, 2008 Board of Trustees meeting were reviewed.

Sherrie Roderick moved to approve the minutes as written. Katrina Olson seconded.

Motion carried.

A public hearing was scheduled for the Truth-In-Taxation & Tax Levy  as no public was present Katrina Olson moved to adopt Tax Levy Ordinance #2008-0902.

It was seconded by Sherrie Roderick.

The motion passed 4-0.

Treasurer’s Report: Katrina Olson moved to approve checks as written. Sherrie Roderick seconded. Motion carried.

Paula Baker presented information from bookkeeper, Diane Hoffman in regards to the $2,000.00 from CD #6-4001675-8 that was not rolled over with the balance of the CD.

The $2,000.00 was put into our savings account which is a money market account to

bring the balance up to the $25,000.00 that is the minimum for this type of account.

Library Director’s Report: Library Director’s report was reviewed.

Program Coordinator’s Report: Program Coordinator’s report was reviewed.

Unfinished Business: There were no items to discuss.

New Business: There was discussion on the clarification of the Treasurer’s  & Bookkeeper’s positions.  Joshua Mikeworth made a motion to clarify the Treasurer’s and Bookkeeper’s positions as follows:

Sign all checks                          Does the payroll and associated reports

Oversees all Investments                       Balances the checkbook

Oversees all Financial Activities

Serves on all Financial Committees

Tracy Culkin seconded it.

The motion passed 5-0.

Paula Baker read an email sent by Linda Fisher stating that she resigned as Treasurer of the Tolono Library Board District, but will remain on the board.

Paula then appointed Sherrie Roderick to serve as the new Treasurer

and Tracy Culkin to serve as the new Secretary.

Continuing Education: At the next election in April 2009 there will be 4 seats open. For those trustees that plan to continue on the Board will need to puck up a petition from Janet on October 28, 2008 for circulating.

Sherrie moved to close the meeting.

Seconded. Motion carried.
